Quotations, invoices and receipts for UAE businesses
Small businesses in the UAE send the same four documents again and again: a quotation to win the job, a proforma invoice to agree the price before payment, a tax invoice once goods or services are supplied, and a receipt when the money arrives. This generator lets you create each of them as a clean PDF in a minute, with your logo, your customer details, line items, discounts and VAT worked out for you.
VAT is calculated per line, so a document can mix 5% standard-rated items, zero-rated items and items with no VAT. Discounts are taken off before VAT is added, and the totals at the bottom are always the sum of the lines above them, so the numbers on the page add up.
How to use the generator
- Choose the document type and a template style.
- Enter your business details, add a logo if you have one, and enter your customer.
- Add each item with its quantity, price, optional discount and VAT treatment.
- Check the totals, then download the PDF and review it before you send it.
What a UAE VAT invoice usually includes
UAE VAT invoices generally show the words "Tax Invoice", the supplier's name, address and Tax Registration Number, the customer's name and address, a unique sequential invoice number, the invoice and supply dates, a description of each item with quantity, price and VAT rate, the VAT amount in AED, and the totals. The exact requirements depend on the type of supply and the buyer, and they change over time, so always check the current Federal Tax Authority guidance.
Frequently asked questions
Is the tax invoice this tool creates valid in the UAE?
The tax invoice option is a layout template. It includes the details UAE VAT invoices usually carry: the supplier and customer details, Tax Registration Numbers, a sequential number, dates, each line with its VAT rate and VAT amount, and totals. Whether a document is valid for your business depends on your VAT registration and the current Federal Tax Authority rules, so confirm with the Federal Tax Authority or a licensed tax advisor before you issue it. This tool is not tax advice.
What is the difference between a quotation, a proforma invoice and a tax invoice?
A quotation is a price offer you send before a sale. A proforma invoice is an advance invoice that sets out what a customer will be charged; it is not a tax invoice. A tax invoice records a taxable supply, and it is the document a VAT-registered buyer normally needs to recover VAT. A receipt confirms that a payment was received.
Do I need a Tax Registration Number (TRN)?
A TRN is issued when a business registers for VAT. If you are not VAT registered you can leave it blank on quotations, proforma invoices and receipts, and you can set the VAT column to "No VAT". The tax invoice template asks for your 15-digit TRN because that field is expected on a UAE VAT invoice.
What about UAE e-invoicing?
The Ministry of Finance is introducing mandatory electronic invoicing for business-to-business and business-to-government transactions in the UAE, using an Accredited Service Provider. According to its decisions published in September 2025, a pilot began on 1 July 2026, businesses with annual revenue of AED 50 million or more are due to start on 1 January 2027, and other businesses on 1 July 2027. Some transactions are excluded. Dates and rules can change, so check the Ministry of Finance e-invoicing page and the Federal Tax Authority for your own business. A PDF from this tool is not an e-invoice under that system.
Can I use it for Saudi Arabia?
This tool is built for UAE businesses. Saudi Arabia has its own electronic invoicing rules under ZATCA, and this tool is not designed to meet them. You can use the quotation, proforma and receipt layouts for general business use, but check ZATCA rules before you issue tax invoices there.
Does it support Arabic?
Not yet. PDFs support English (Latin) letters and numbers only. If a field contains Arabic or other non-Latin characters the tool will tell you which field to change before it creates the PDF.
Is my information stored?
Your business and customer details stay in your browser and are not stored on our servers. We only count how many documents are generated, by document type and template, and never what is in them. If you tick "Remember my business details", they are saved on your own device only, and you can turn that off at any time.
This tool creates document layouts for convenience and is not tax or legal advice. Confirm invoicing, VAT and e-invoicing requirements with the Federal Tax Authority or a licensed tax advisor before you rely on any document.
